The best receptions have a rhythm. Guests are fed before they are restless, speeches land while the room is still listening, and the dance floor opens while energy is high. Here is a reception timeline that works well for weddings around Geelong, the Bellarine Peninsula and the Surf Coast, with notes on why each moment sits where it does.
A sample reception timeline
This example assumes a 6:00pm reception start and a midnight finish. Shift it to suit your venue’s finish time.
- 6:00pm — Guests arrive. Relaxed background music while drinks and canapés are served.
- 6:45pm — Grand entrance. Introduce the bridal party and the couple with high-energy entrance songs.
- 7:00pm — Entrée. Keep the music warm and conversational.
- 7:40pm — First round of speeches. Parents or family, while everyone is seated and attentive.
- 8:00pm — Main course. Slightly more upbeat music builds anticipation.
- 8:45pm — Second round of speeches. Best man, maid of honour and the couple.
- 9:10pm — Cake cutting and first dance. Then invite everyone straight onto the floor.
- 9:20pm – 11:45pm — Dancing. Build the energy in waves, with a short break for dessert or the bouquet toss.
- 11:45pm — Final song and farewell. A guard of honour or circle to send you off.
Split the speeches
Six speeches in a row is a long time for guests to sit still. Splitting them across two courses keeps attention high and gives the kitchen natural breaks. Ask speakers to aim for three to five minutes each, and let your MC know the order well before the day.
Open the dance floor straight after the first dance
The moments after your first dance are the easiest time to fill a dance floor. Everyone is already watching, cameras are out and the energy is there. Plan for your DJ to roll straight from your first dance song into a crowd favourite, and have your bridal party ready to join you.
Plan around your venue
Geelong venues range from waterfront function rooms to wineries, breweries and farm properties, and each has its own rules. Check:
- Your venue’s finish time and any noise restrictions
- When suppliers can access the room to set up
- Whether your ceremony is on site, and how long guests need to move between spaces
- When the kitchen needs the room quiet for service
Let your MC run the timeline
A good MC keeps the night on schedule without making it feel rigid. They cue the venue, give speakers a heads-up, and adjust if dinner runs late, so you can enjoy your reception rather than watching the clock.
